Pre-entry Information

Please read the below information and tournament documents before completing the team entry form. If you have any queries please contact the Tournament Organisers via email.

Number of Teams

Please note we can only take a maximum of 44 teams, 8 teams in the boy’s Under-11s, Under-12s, Under-13s and Under-14s age groups and 6 in the girl’s Under-14s and Under-16s age groups.

Please register and complete payment early, as teams will be entered on a first come, first served basis.

Team Entry Fee Payments

To ensure you guarantee your place in the tournament you are required to pay the team entry fee (£765 per team (inc VAT)) within 7 days of submitting this form.

On receipt of your completed form, an invoice will be sent to you. Payment can be made by BACS transfer or credit/debit card. Failure to make payment 7 days after submission of this form will result in your entry being withdrawn and your space being made available for another team.

This team entry fee is non-refundable, except where we are unable to run the age group you have entered or the age group is full.

All payments must be made in GBP and teams must cover the cost of any bank charges.

Accommodation

Where accommodation is not required:

There are only a limited number of places available for UK based teams or International teams who wish to use/book their own accommodation.

Where accommodation is required:
The Southampton Cup can arrange accommodation on your behalf. Accommodation prices range from £285pp for a self-catering dormitory to £660pp for a half board twin room at a 4* hotel (single supplement would apply). These prices are per person for a 5 night stay (additional nights will be charged accordingly). The spaces available at each accommodation are limited and therefore if your first choice isn’t available, an alternative will be offered.

Accommodation can be booked for staff, players and parents. However, we cannot guarantee that parents will be able to stay in the same accommodation as their team.

The tournament starts on Tuesday 31st July AM so we recommend all travelling teams arrive in Southampton on Monday 30th July 2018, by midday for registration. If you wish to arrive earlier please inform the Tournament Office who will try and arrange this for you. Any requests for a longer stay will be looked into, but cannot be guaranteed. Early booking is strongly recommended.

Please see the Tournament Accommodation document for further details on the accommodation options available to you. A member of the team will be in touch to discuss your requirements once your entry fee has been received.

Once a choice of accommodation has been made, an invoice detailing a schedule of payments will be sent to you. The invoice will detail when each payment is due. Failure to make any of the payments by the specified dates will mean that the Southampton Cup has the right to cancel your entry without any right to a refund or compensation and the Southampton Cup will not incur any further liability to you for any other costs you may incur related to such cancellation.

All accommodation choices must be confirmed to the Tournament Organisers by the 28th February 2018, except for categories 3 and 4. Category 4 must be booked by 27th November 2017 and category 3 must be booked by 27th December 2017. All accommodation fees, for both categories, are non-refundable. Optional Extras

Teams are able to book a number of optional extras. Further information is contained in the Tournament Information and Conditions of Entry. All optional extras are payable immediately upon booking by credit/debit card or BACS transfer. No service or product will be supplied until payment has been received. All optional extras must be booked by the 30th June 2018. The Southampton Cup cannot guarantee availability for any optional extras.

Important Information

All English teams must confirm their 2018/19 season affiliation number to the Tournament Organisers on or before 16th June 2018.

All teams from countries outside of England must obtain permission from their National Association to travel and participate in the tournament and confirm this to the Tournament Organisers on or before 16th June 2018. For advice on how to do this, please speak to the Tournament Organisers as soon as possible.

Should we not receive this information from you by the required date, we reserve the right to revoke your place in the tournament without incurring any liability to you.

The Southampton Cup 2018 is covered by "Public Liability Insurance" by the Tournament Organisers. All participating teams must take out a "Group Insurance Policy" if you are not already covered, to protect members against personal accidents, or injury, late cancellation due to illness, loss of property etc. 

Cancellations

Any cancellations and amendments to all tournament bookings must be emailed to the Tournament Organisers. Telephone cancellations will not be accepted. Please refer to the Tournament Information and Conditions of Entry for further information regarding cancellation and accommodation amendments. 

In the unlikely event of the tournament being cancelled due to circumstances beyond our control there can be no refunds made.
